  • Communications between you and Accuprime, including email correspondence, meeting notes, recorded or non-recorded phone calls, voicemail, and SMS or MMS text messages
  • Records of consent and opt-in to receive SMS, MMS, or voice communications, including the date, time, source, and method of consent

Information Collected Automatically

Phone Number Collection

We collect mobile and landline phone numbers when you provide them through our website contact forms, engagement letters, account onboarding documents, business cards, email signatures, or during direct conversations with our team. Phone numbers are also collected when prospective clients book consultations through our scheduling tools or respond to our outreach communications.

How We Use Phone Numbers

We use the phone numbers we collect for the following purposes:

  • Service delivery: Calling or texting clients about active engagements, including deliverable updates, document requests, scheduling, and time-sensitive financial matters
  • Appointment reminders: Sending confirmations and reminders for scheduled meetings, calls, or video conferences
  • Account and security alerts: Notifying you of important account activity, security events, or changes affecting your engagement
  • Customer support: Responding to questions, requests, and inquiries you have submitted to us
  • Business communications: Discussing prospective engagements, contract terms, and follow-up after consultations with prospective clients who have requested contact

Consent to Receive SMS and Voice Communications

By providing your mobile phone number to Accuprime, whether through our website, an engagement letter, a consultation booking, or other written or verbal communication with our team, you consent to receive SMS, MMS, and voice communications from us related to the purposes listed above. Message frequency varies based on the nature and stage of your engagement. Standard message and data rates from your wireless carrier may apply.

For marketing or promotional SMS communications (if any), we will obtain your express written consent through a clear opt-in mechanism (such as a checkbox or keyword reply) before sending such messages. Pre-checked boxes are never used.

Opting Out (STOP) and Help (HELP)

You may opt out of receiving SMS messages from Accuprime at any time by replying STOP to any text message you receive from us. Other accepted opt-out keywords include END, UNSUBSCRIBE, QUIT, and CANCEL. Capitalization and punctuation do not affect the opt-out. Once you opt out, you will receive a single confirmation message confirming that no further texts will be sent, and we will cease sending SMS communications to your number.

To opt out of voice calls or to update your phone communication preferences, contact us using the information at the end of this policy. You may opt out of SMS messages while continuing to receive necessary voice communications regarding your engagement, or vice versa.

No Sharing of Phone Numbers or SMS Consent for Marketing

Mobile phone numbers and SMS opt-in consent data collected by Accuprime will not be shared with any third parties or affiliates for marketing or promotional purposes. Phone numbers and consent records are kept private and will never be sold, rented, transferred, or otherwise disclosed to third-party marketers under any circumstances.

We may share phone numbers only with subcontractors and service providers who support the operation of our business communications (for example, our VoIP and SMS infrastructure provider, our scheduling platform, or our customer relationship management system). These providers are bound by strict confidentiality obligations and may only use phone numbers for the limited purpose of supporting our service delivery, customer service, technical operations, or compliance with law. They are contractually prohibited from using the data for their own marketing or sharing it with any other party.

Call Recording

Some calls with Accuprime may be recorded for quality assurance, training, recordkeeping, or compliance purposes. Where call recording occurs, you will be notified at the start of the call and given the opportunity to decline. Recorded calls are stored securely and are subject to the same confidentiality and retention practices as other client information described in this policy.

SMS Message Content

We do not send SMS messages containing prohibited content, including but not limited to: messages related to controlled substances, illegal products or services, hate speech, harassment, phishing, or any content that violates carrier guidelines or applicable law.

Retention of Consent Records

We retain records of SMS and voice communication consent, including opt-in date, source, and method, for as long as your phone number is active on our system, and for at least the period required by applicable law (which may extend up to ten years in some jurisdictions). Opt-out records are retained indefinitely to ensure compliance with your stated preferences.

As an accounting and advisory firm, we hold ourselves to the highest standards of professional confidentiality. All information about your business, finances, operations, and strategy that we receive in the course of an engagement is treated as confidential.

Members of our team are bound by professional confidentiality obligations. We do not disclose client information to anyone outside the engagement team without your express authorization, except as required by law, court order, or applicable professional standards.

We maintain professional engagement letters with our clients that further define the confidentiality terms specific to each engagement.

— 06Information Sharing & Disclosure

Accuprime does not sell, rent, or trade your personal information, including phone numbers and SMS opt-in consent data, to any third party for marketing or promotional purposes. This commitment applies without exception.

We may share your information only in the following limited circumstances:

  • With your authorization: When you explicitly authorize us to share information with your CPA, tax preparer, banker, lender, or other advisors
  • With service providers: Trusted third-party vendors who assist us in delivering our services (e.g., secure file transfer platforms, cloud accounting software providers, VoIP and SMS infrastructure providers, customer relationship management systems, and scheduling tools). These providers are bound by confidentiality obligations and may use your information only for the purposes we specify in our agreements with them
  • For legal reasons: When required by law, court order, government investigation, or to comply with applicable regulatory or professional obligations
  • Business transfers: In the event of a merger, acquisition, or sale of all or part of our business, your information may be transferred as part of that transaction. You will be notified before your information becomes subject to a different privacy policy

Mobile phone numbers and SMS opt-in consent data are subject to additional protections described in Section 04 (SMS, Voice & Phone Communications). These records are never shared with third parties or affiliates for marketing or promotional purposes under any circumstances.

We implement reasonable administrative, technical, and physical safeguards to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted file transfer, secure cloud-based document storage, access controls, multi-factor authentication for sensitive systems, and regular security reviews.

However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of any login credentials you provide to us and should notify us immediately if you believe an account has been compromised.

We retain client records for as long as necessary to fulfill the purposes for which they were collected and to comply with applicable legal, tax, regulatory, and professional standards. For accounting and tax-related records, this is typically a minimum of seven years following the end of the engagement, consistent with industry standards and IRS recommendations.

After the retention period, we will securely delete or anonymize your information unless we are required by law to retain it longer.

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request that we correct inaccurate or incomplete information
  • Deletion: Request that we delete your personal information, subject to our legal and professional retention obligations
  • Restriction: Request that we limit the processing of your information in certain circumstances
  • Portability: Request a copy of your information in a structured, machine-readable format
  • Objection: Object to our processing of your information for certain purposes
  • Withdraw consent: Where processing is based on consent, withdraw that consent at any time

Each of these providers maintains its own privacy policy governing how it handles information. We select providers that meet our security and confidentiality standards.

Our website may link to third-party websites for informational purposes. We are not responsible for the privacy practices of those external sites and encourage you to review their policies before providing any information.

Accuprime operates an offshore-based team headquartered in the Philippines with a US business presence in Chicago, Illinois. Information you provide may be processed in the United States, the Philippines, and the jurisdictions where our cloud service providers operate. By using our services, you consent to these international transfers.

We take steps to ensure that your information receives appropriate protection regardless of where it is processed, including through contractual safeguards with our service providers and adherence to professional confidentiality standards across our team.

Our services are intended for businesses and business operators. We do not knowingly collect personal information from individuals under the age of eighteen. If we become aware that we have inadvertently collected such information, we will delete it promptly.
